Omar Aftab Memorial Trust collects personal information from students who apply for support, from donors, and from anyone who writes to us. This policy explains what we collect, why, who else sees it, how long we keep it and what you can ask us to do. It applies to this website and to the Trust's handling of information received through it.
The short version
We never sell, rent or exchange your information. We do not share donor details with other organisations for their fundraising. We ask students for sensitive documents only because the award decision requires them, and we delete them when they are no longer needed.
1. What we collect
If you write to us through the contact form: your name, email address, phone number if you give one, the topic you choose, where you live if the question concerns a scholarship, and your message.
If you make a donation pledge: your name, email address, phone number, postal address, the programme you choose and the amount you intend to give. No card or bank credentials are ever entered on this website.
If you apply for a scholarship: considerably more, because the award decision requires it. Your name, date of birth, identity card or B-Form number, contact details, addresses, academic history and results, your family's income and occupations, household expenses, details of siblings, and your personal statement. You also upload supporting documents: academic transcripts, an admission letter, your identity card or B-Form, your father's identity card, proof of family income, recent utility bills, a fee structure, photographs and, where the applicant is an orphan, a parent's death certificate.
If you join our mailing list: your name, email address, and whether you describe yourself as a donor, a student, a supporter or simply interested, so that what we send you is relevant.
When you browse: pages viewed, the language version you use, links and buttons clicked, approximate location by country or city, and device and browser type.
2. Why we collect it, and your consent
We use this information to assess scholarship applications, to acknowledge and account for donations, to answer your messages, to report to our Trustees and auditors, to meet our obligations under Pakistani law, and to understand how the website is used so we can improve it.
We collect it because you give it to us. Submitting a form is your consent to our using the information for the purpose that form serves. For the mailing list we ask separately, with a box that is never pre-ticked, and you can withdraw that consent at any time using the unsubscribe link in any email or by writing to us.
3. We do not sell or share your information
The Trust does not sell, rent, trade or otherwise disclose your personal information to any third party for their own marketing or fundraising. We have never done so and we do not intend to. Donor names are not published, and no donor is named or thanked publicly without their permission.
4. Who else sees your information
Only these, and only to run the services described:
- The Trustees and the Trust's administrative volunteers, who assess applications and manage donations. Scholarship files are seen only by those involved in the decision.
- Google. Our forms deliver to Google Sheets, uploaded documents are stored in Google Drive, and the email notifications are sent by Google Apps Script. Google processes this information on our instructions, on servers outside Pakistan.
- Google Analytics. Website usage statistics. We never send your name, email address, phone number, message text or any uploaded document to Google Analytics.
- Meta (Facebook). A measurement pixel that records visits to the site.
- Our email service provider, for the mailing list, if you join it.
- Our auditors, and any authority entitled to the information by law.
Because these services operate internationally, your information may be stored or processed outside Pakistan. We choose established providers and share only what each service needs.
5. How long we keep it
- Unsuccessful applications and their uploaded documents: kept for up to 24 months, so that an applicant may reapply without starting again, then deleted.
- Successful applicants' records: kept for the period of support and for seven years afterwards, to meet audit and reporting obligations.
- Donation records: kept for seven years, as our accounts require.
- Contact messages: kept for 24 months.
- Mailing list: kept until you unsubscribe, and removed promptly afterwards.
6. Students, children and photographs
Some of those we support are under 18. Where an applicant is a minor, we expect a parent or guardian to be aware of the application and the documents submitted. We publish a student's name, photograph or story only with that person's permission, and for a minor their guardian's. We stop using it from the date anyone asks us to.
7. Cookies and measurement
This website uses Google Analytics and a Meta pixel, which set cookies in your browser to count visits and understand which pages are used. They do not identify you to us by name. You can block or delete cookies in your browser settings, or use your browser's "do not track" setting; the website works normally either way. We do not use advertising cookies to follow you around other websites.
8. Security
The website is served over an encrypted connection. Form submissions travel encrypted, and the Sheets and Drive folders holding applications are restricted to the people who need them. No system is perfectly secure, but if a breach ever affected your information we would tell those affected and the relevant authorities without undue delay.
9. What you can ask us to do
Write to us and we will:
- tell you what information we hold about you;
- correct anything inaccurate;
- delete your information, where we are not required to keep it for audit or legal reasons;
- stop sending you email, immediately;
- stop using your photograph, name or story.

10. Changes to this policy
We will update this page when our practices change, and the date at the top will show when. If a change materially affects how we use information you have already given us, we will tell you.
